Guidelines for Artists/Consultants Contracting with Schools


Tucson Pima Arts Council provides these guidelines as a service. Once a verbal agreement has been made to move forward together on a project, we suggest that a written contract be drawn up listing the specifics involved. Below are a few items to discuss or perhaps include in the contract:

1. Job Description/Responsibilities

  • What are you expected to achieve?
  • Do you know what the site's expectations are?
  • Do you know what you want to achieve?
  • Have you been clear about what can be expected?
  • Will there be a pre-assessment?
  • How will the outcomes be judged?
  • Will there be any kind of evaluation?
  • How many students are you responsible for in each session?
  • Are you considered an Independent Contractor or an Employee?
  • Will you need an ID tag?

2. Dates and Times

  • Length of the job: 1 day, 1 week, 1 month etc.?
  • Time on site: number of hours every time you visit?
  • Is a time sheet required?

3. Pay

  • Is this a salaried or hourly job?
  • Where does the money come from?
  • Is a purchase order ( PO ) necessary? Who writes the PO ? Can you start work before you receive it?
  • Is mileage or travel time included?
  • Are there limits?:
  • maximum number of hours on site?
  • maximum number of paid planning hours?
  • maximum number of miles reimbursed?

4. Budget

  • Who is responsible for the overall budget and how much is it?
  • Is the budget for the whole service or just for time and travel?
  • Have you considered the following?
  • Materials : Will your budget be used to pay for materials? If you pay for materials will you be reimbursed? If you are not responsible for materials, who is?
  • Services : Can you subcontract with your funds? Can you invite/pay for guests?
  • Field Trips : Are you allowed to take the students out of the classroom or even off campus? If so, who pays for any trips?
  • Miscellaneous : Are there any restrictions to how your monies can be spent?

5. Transportation & Mileage

  • How are you going to arrive at the site?
  • Do you have a room plan for the site?
  • Have you ever been to the site before? A pre-visit is recommended where possible.
  • Have you asked about parking?
  • Do you have a map? Have you asked for directions?
  • How will the students arrive at the site? Are you responsible for their transportation or punctuality? Will you need to wait with students at the end of the session if they are waiting for transportation? If not you, who?
  • If there are field trips, how will the transportation be arranged? Is there paperwork?

6. Insurance - transportation, liability, security, medical etc.

  • Are you expected to carry your own vehicle, liability, and medical insurance?
  • Do you need to provide proof of insurance?
  • Will you need a Federal or State or Local fingerprint and/or background check?
  • Who is responsible if you are injured on the job?
  • Who is responsible if a student is injured?

7. Support and Staff

  • Have you met everyone you will be working with?
  • Have you offered a meeting or an In-service or a workshop to demonstrate what you are going to do and what motivates you to do it?
  • Have you explained what you will be doing with them?
  • Have they told you what they expect?
  • Is there support with issues of student behavior? Who do you go to with a problem regarding students? Can you send a student out of the class? If so where do they go?
  • Will you need any extra staff? If they are available, who are they? Have you met them? Are they volunteers or paid employees? Who is their supervisor?
  • Will there be a teacher/staff person with you at all times?

Work-site/School Culture

  • When you walk into the site, what does it feel like? Are the halls decorated? Do you feel welcome? Does it look like an educational/artistic facility or a prison?
  • How do you feel when you walk into your classroom? Can you make any changes if you desire?
  • Is all of the site staff on board with you?
  • Are the principals/directors on board with you?
  • Does everyone with whom you are co-teaching want to work with you?
  • Are your students excited about the opportunity to work with you?
  • What happens if you discover that you are not welcome?
  • Who chose the classes/staff that you will be working with? How were they chosen?

8. Chain of Command

  • Who do you report to? When do you need to report?
  • Do you have a supervisor? If so, who is it?
  • Will anyone report to you?
  • Where does the buck stop? Do you know that person?
  • How is a grievance handled?

9. Policies and Procedures

  • Is there an employee manual or personnel policy?
  • Is there a dress code?
  • Have you asked about any other policies or procedures you should know about?
  • Will you be allowed to sell any materials on site?

10. Facilities/Storage

  • Where are you supposed to work? Have you seen the site?
  • Where are you supposed to store materials etc.?
  • Is there a safe place to store your personal items when on the site?
  • What happens if something disappears/is stolen?

11. Emergency Procedures

  • Is there a map of the building/site where you are teaching?
  • Where are the phones? Restrooms? Emergency exits?
  • How are you supposed to handle an evacuation procedure?
  • How are you supposed to handle an emergency situation with a student?
  • How are the students supposed to handle an emergency if you are incapacitated?

12. Safety

  • What safety issues apply to this project?
  • What are the site's expectations regarding your activities and your safety?
  • What guidelines are in place for student safety?

13. Keys

  • Do you need a key to enter the building? Is there a security alarm?
  • Do you need a key to your room? To the storage area? What happens if you lose one?
  • Are you responsible to lock up? Set the alarm system?
